Navigate to the Volunteer Dashboard
- Click Volunteer at the top of your Groundswell homepage
- Select “Create Event” in the “Manage Events” dropdown
Build your event
Plan events that work for your team’s needs—big or small, simple or complex
- Create single-day or multi-day events
- Add one or many shifts
- Set your event as recurring or one-time
- Add event details, including a description, image, and event type
- Associate your event to a charity
Add details to help employees find your event and add registration questions for attendees to answer
- Make your event easy to discover in the platform by adding issue areas, skills, and office locations
- Include questions for attendees to answer while they register (e.g. What is your shirt size?)
If required, submit your event for approval.
- Once your event is ready to go, send it to your admin for approval
- Events are tagged with the current event status: draft, pending approval, changes requested, published, and completed
Spread the word about your event
- Get the right people involved with direct invites and promotion tools
- Invite specific employees to your event
- Share the event link in internal channels (Slack, email, etc.)
Manage your participants
Easily stay on top of attendees and waitlists
- See who’s registered for each shift and manage waitlists
- Add or remove participants manually
- Message participants about upcoming changes or event requirements
- Download a full list of attendees after the event
Track and celebrate participation
Make sure everyone’s contributions are counted with check in and hours upload
- Check participants in during the event
- Log hours individually or in bulk (hours can also be set to autolog via admin settings)
Tips for success
- Be descriptive: A well-written title and summary help people understand what they’re signing up for.
- Keep communication clear and timely. Participants will receive a calendar invite for the event, but message attendees about any last-minute changes or updates.
- Recognize your volunteers—thank-yous go a long way! Top volunteers can be featured in a company spotlight.
- Use shifts strategically to break up larger events or accommodate different time zones.
