How To: View Your Volunteer History in Groundswell

Whether you’ve logged individual volunteer hours or participated in a company volunteer event, your Volunteer History page gives you a complete record of your volunteer activity in Groundswell.

From your Volunteer History page, you can:

  • View all of your volunteer submissions in one place
  • Track the status of your volunteer hours
  • Search and filter your volunteer history
  • View detailed information about each submission
  • Edit or delete eligible pending volunteer submissions (if company configuration allows)
  • Manage eligible company volunteer event registrations

Accessing Your Volunteer History

Step 1: Click Account in the upper-right corner of Groundswell.

Step 2: Select Volunteer history from the dropdown menu.

You’ll be taken to your Volunteer History dashboard.


Understanding Your Volunteer History Dashboard

At the top of the page, you’ll find a summary of your volunteer activity.

The dashboard includes:

  • Logged Hours – The total volunteer hours you’ve logged.
  • Events Attended – Your company volunteer event activity.
  • Total Matched – The total amount generated through volunteer matching (if your company offers a volunteer match program).
  • Charities Impacted – The number of organizations you’ve supported through volunteering.

Below the summary, you’ll find your complete volunteer history.

Each submission displays:

  • Organization or event name
  • Volunteer date
  • Volunteer type
  • Current status
  • Number of volunteer hours
  • Match Type (Direct to the charity or credit to your Groundswell account)
  • Match Status (did you opt to include a match or not)

Search and Filter Your Volunteer History

Need to find a specific volunteer submission?

Use the search bar and filters at the top of the page to quickly locate volunteer activities.

You can:

  • 🔍 Search by organization or event name
  • 📋 Filter by Status
  • ⏱️ Filter by Hours
  • 👥 Filter by Type

These filters make it easy to find past volunteer submissions, especially if you’ve participated in multiple volunteer activities.


Understanding Volunteer Statuses

🟡 Pending

Your volunteer submission has been received and is waiting to be reviewed or approved.

While a submission is pending, you’ll still be able to view all of its details, including volunteer matching information (if applicable).

Depending on your company’s volunteer program, you may also be able to edit or delete the submission before they are approved.


🟢 Approved

Your volunteer submission has been approved.

If your company offers volunteer matching...

  1. the associated volunteer grant will continue through your company’s normal grant distribution process OR
  2. the donation credit will be available in your Groundswell account for you to donate to a charity of your choosing

Once a submission has been approved, it can no longer be edited or deleted.


🔴 Denied

Your volunteer submission was not approved.

Volunteer submissions may be denied for a variety of reasons, including:

  • The activity doesn’t meet your company’s volunteer guidelines.
  • Required information is missing or incorrect.
  • The organization isn’t eligible under your company’s program.
  • The volunteer activity couldn’t be verified.

If you’re unsure why your submission was denied, contact your company’s program administrator for additional information.


Viewing Volunteer Submission Details

Select any volunteer submission to view additional information.

Depending on your company’s volunteer program and the type of volunteer activity, you may see:

  • Current submission status
  • Total donation match (if applicable)
  • Associated charity
  • Volunteer hours
  • Volunteer match rate & type (direct to charity or credit)
  • Volunteer type
  • Volunteer date
  • Submission date
  • Donation note
  • Company event information (for company volunteer events)

Some submissions may also include actions such as Edit or Delete submission, depending on the submission’s status and your company’s volunteer program.


Editing or Deleting a Pending Volunteer Submission

If you notice a mistake after submitting your volunteer hours, you may be able to update your submission before it’s approved.

Eligible pending individual volunteer submissions can be edited directly from the submission details page.

Depending on your company’s volunteer program, you may be able to:

  • ✏️ Edit your submission
  • 🗑️ Delete your submission

Note: Once a volunteer submission has been approved, it can no longer be edited or deleted.

Important: Some companies automatically approve volunteer submissions immediately after they’re submitted. If your company’s volunteer program uses automatic approval, you may not have an opportunity to edit or delete your submission before it is approved.


Frequently Asked Questions

Why don’t I see a volunteer match?

Volunteer matching is configured by your employer. If your company doesn’t offer volunteer matching, or if your volunteer activity isn’t eligible, you won’t see volunteer matching information on your submission.


Why is my volunteer submission still pending?

Pending submissions are typically waiting for review by your company's program administrator or for attendance to be confirmed after a company volunteer event.


Can I edit my volunteer submission?

If your submission is still Pending, you may be able to edit or delete it directly from the submission details page.

Once a submission has been Approved, it can no longer be edited or deleted.

If your company automatically approves volunteer submissions immediately after they’re submitted, editing may not be available.


Why was my volunteer submission denied?

Volunteer submissions can be denied if they don’t meet your company’s volunteer program requirements or if the volunteer activity can’t be verified. If you have questions about a denied submission, contact your company’s program administrator.


Why does my Volunteer History look different from someone else’s?

Every company configures its volunteer program differently. Available features, approval workflows, volunteer matching, and eligibility rules may vary depending on your employer’s program settings.
