How To: View your Donation & Match Status in Groundswell


Want to check the status of your donation and match? Your Donation History shows where each donation is in the distribution process. This guide explains how to find your donation and match and what each status means.

Step 1: Click your profile icon on the top right 

Step 2: Click "Donation History" in the drop down menu options

Step 3: To view the status of a specific donation, simply select the one you're interested in. Below are examples of the various statuses you might see.  

Donations sent via Chariot: 

Overall Status

Sub-Status

Meaning

Processing
  • Pending Contribution
  • Waiting on charity
  • Check Sent
  • The donation is awaiting approval or we're waiting for your bank transfer to finish processing. This typically takes up to 6 business days before your donation can be sent to the nonprofit. Learn more here.
  • We’re waiting for the nonprofit to claim their Chariot account, complete setup, and be verified by Chariot. If they don’t claim an account, we’ll automatically mail them a paper check instead. Learn more here.
  • The check has been mailed and pending delivery
Completed
  • Funds Received
  • The check has been deposited by the receiving organization
  • The disbursement payment has been completed and funds have been received by the receiving organization
Unsuccessful
  • Canceled
  • Delivery Issue
  • The donation was canceled or rejected before it was successfully delivered to the charity.

Donations sent as live checks not processed via Chariot: 

Overall Status

Meaning

Processing
  • Check Sent
  • Your donation has been successfully sent to the charity via live check. These checks are sent via USPS so it can take ~5-20 business days for them to arrive, pending delivery statuses of USPS. 
Completed
  • Funds Received
  • Your donation has successfully made it to the charity you donated to and they have cashed your check
Unsuccessful
  • Canceled
  • Delivery Issue
  • The donation was canceled or rejected before it was successfully delivered to the charity.

Donations sent via CAF America:

Overall Status

Sub-Status

Meaning

Pending
  • Your donation is waiting for the next scheduled CAF America distribution, which occurs every two weeks.
Processing
  • Funds Sent
  • Funds were wired to CAF America which begins the CAF distribution process. You can learn more about that here.

In addition to the above donation statuses, below are a few other statuses you may see in your Donation History and what they mean.

Upload Receipt (Offline Donation Match Request) Statuses:

Overall Status

Meaning

Pending Approval
  • Your receipt is being reviewed by our Offline Match Request Team. If they have any questions about your receipt they will be reaching out to you directly
Denied
  • Your Offline Match Request was denied, if you have any questions as to why please reach out to our team.  

*Once your Offline Donation Match Request is approved the statuses will match the pervious statuses shown above

Company Match Status:

If your employer offers a matching gift program, you can track your company’s match directly from your Donation History. Open your donation and look for the Match Status section.

Overall Status

Meaning

Pending
  • Your company match is still being processed. This can happen if your company sends matching funds on a schedule, is reviewing the request, or if the nonprofit is temporarily unable to receive matching funds.

*Once your Match processes/distributes the status will match the pervious statuses shown above

Additional Details

Selecting View next to a donation or match provides additional information, including:

  • Donation amount
  • Payment method
  • Match amount (if applicable)
  • Charity name
  • EIN
  • Donation date
  • Distribution method
    • Depending on how your donation is distributed, you’ll see one of the following distribution methods:
      • Chariot – Electronic distribution through the nonprofit’s Chariot account.
      • CAF America – International distribution through CAF America.
      • Check – A paper check mailed directly to the nonprofit.
  • Disbursement date (once available)
